Create, issue, and manage every invoice

JKdevs7 min read

Once counterparties and charges were in place, the next release addressed the invoice itself: drafting, issue, payment allocation, and PDF dispatch without leaving the record.

The invoice is opened against the client company

A new invoice is opened against the client company, with that company's contracted charges presented first. Amounts may be entered net or gross; the server recalculates tax so the PDF and the stored total are identical. Drafts are excluded from every report until the invoice is issued.

On issue, the invoice takes the next number in the firm's sequence and stores a snapshot of the seller, the exchange rate, and the line descriptions. A subsequent change to the price list does not alter an invoice that has already been sent.

MKD and EUR are ledgers, not a converted total

MKD and EUR are stored as separate amounts. Open and overdue balances remain in each currency. Period comparisons use the rate recorded on each invoice, so a later rate change does not rewrite historical figures.

A denar invoice follows the statutory layout of a Macedonian factura: the parties, the date of supply, net amount, rate, VAT, and total. A euro invoice, including its wording, is issued in English. The PDF is printed or emailed from the same screen that issued the invoice.

Allocations, advances, and reversal

A receipt is allocated to the open invoices the operator selects. Each invoice shows the portion settled. Residual amounts remain as an advance on the company and can be applied to a subsequent invoice without re-entering the figure.

If an invoice must be deleted, the system presents a reversal preview: the number, the PDF, and the effect on totals. Any advance returns to the advance balance. Confirmation is required before deletion. Paid, open, and overdue figures then match amounts actually collected.

Document dispatch from the record

From the company, the invoice, or a filtered list, the operator emails the PDF with a template, an editable subject, and copies to additional recipients. Overdue invoices can be selected and reminded in a single pass, one message per company.

Every dispatch attempt is retained, including mail-server failures. The document the client received remains the document still open on the system. Status, payment, and file stay on a single record.
